How to work with a VA

Whether you’re still considering hiring a virtual assistant (VA) or have already made the transition, then this blog has some useful tips on how to work effectively with a VA. 

Firstly, a VA will make your working life much easier, as they are typically an expert in their field (especially if you come to Online Exec PA) as shown on my About Me page. You don’t need to manage or give training to a VA – this person isn’t an employee. They are a professional providing a service. You can simply delegate the work and see the results in time for your deadline.

However, as straightforward as the process is there are a few things you can do to make the process even easier! 

Communication

Communicate clearly with your VA. You’ll typically have a meeting with your VA at the start to discuss the work you require (as shown in my How it Works page). This is your opportunity to be as clear as possible about what it is you want. This sounds obvious, but we often envisage how a document might look or have a reason for wanting something in a certain way, but without sharing your vision or goals your VA won’t be able make them a reality. Another preference to express in your meeting is if you want the VA to be creative with your documents at all or do you want just literally exactly what you’ve specified. Were all different and we all have different thoughts and preferences so don’t be afraid to share them. Remember your VA wants to do a good job. 

Deadline

Remember to be realistic with your deadlines. It’s never a good idea to give your VA an unnecessary tight deadline. Be honest with your VA on when you need the work completed. 

Scope of Works

Your VA will typically send you either an email or booking form to confirm your scope of works. The purpose of this is to clarify that they have understood your request correctly. Make sure you take your time to check the brief is correct and if it’s not, then make sure you take this opportunity to provide feedback. Remember your VA wants you to be happy with the end result. 

Payment

Most VAs will require payment in advance, as shown on my Prices & Payment page. This ensures the assistant’s time. This one is particularly important if you have a monthly retainer and direct debt is often a good idea in this instance. 

Feedback
